Searching for users
When you click Users in the portal, you see one of these two results:
- No user is selected. If no user is currently selected, you see the Users page. The search bar appears under the header. The page displays a list of users in your portal. If the amount of users exceeds your Items per page setting, then at the bottom of the page, controls let you navigate through the list, sorted in ascending order. Default sort order displays by Name, but using the Sort by filter accessed by clicking in the search bar, you can also sort by Last activity. This view lists users in ascending order, from invited but not yet activated, to inactive, to recently active. A count of total users appears at the top and bottom of the page, along with controls to navigate to next and previous pages. On the second and subsequent pages you can also click to navigate to the first record in the sort order. The users visible to you may be restricted based on your role and organization.
- One or more users are selected. If previously entered search criteria persists, you see the Users page. The users found are filtered to display only those users matching the criteria entered into the search bar (restricted by your role and organization).
- A specific user is selected. If you previously searched for and selected a specific user, the Roles page appears for the selected user. In the header of the portal, the name of the selected user appears in the selected objects pane. A selected objects header appears immediately below, showing user-specific details (name, organization, role, and number of days since the selected user last logged into the portal). To select a different user, from the selected objects pane, click the x to clear the current user. You then see the Users page, showing one of the two views described above.
Once you click on the name of a specific user, the Roles page appears for the selected user. In the header of the portal, the name of the selected user appears in the selected objects pane. A selected objects header appears immediately below, showing user-specific details (name, organization, role, and number of days since the selected user last logged into the portal). To select a different user, from the selected objects pane, click the x to clear the current user. You then see the Users page, showing one of the two views described above.
From the Users page, you can search for the users accessible to your role and organization. Search options for users include name or role. For any search you manually enter into the search bar, you can enter full or partial values. Your filter criteria controls the users displayed.
To search by name. In the search bar, type your search criteria and then press [Enter]. You can enter any number of search criteria. As with any database search, you may need to refine the selected criteria to obtain the intended result. For example (using fictional names), if you are looking for a user named Anton Weir, and you enter "Wei," you could see:
Wei Zhang Mitchell Weinstein Anton Weir Keisha Weirloom
Searching on "Weir" results in the last two names; searching for "Anton Weir" results in only that name listed on the Users page. Scroll or navigate through the list of users meeting your search criteria, if necessary, and click the user name you want.
To search by role. Click in the search bar to show a drop-down menu containing all roles. Scroll down the list and select the role you want to include. You can enter any number of search criteria. This includes default roles and any custom roles created. For example, click in the search bar and select Admin. The Users page refreshes, listing only users with the Admin role. Then click again in the search bar and select Reader. The Users page refreshes, listing all users with either the Admin role or the Reader role.
After search criteria are entered into the search bar, you can click the X next to any criterion to remove it from the found set of users. When no search criteria (names or roles) appear in the search bar, the list displayed on the Users page includes all users that your role and organization are allowed to display.
When you clear the contents of the selected objects pane, it is replaced by the relevant context-sensitive search bar. This lets you search efficiently for the appropriate entity using the most relevant options.
For example, in the search bar, type "Sam" and press [Enter]. The page refreshes, showing all users that meet the criteria "Sam," listed alphabetically. For example, using fictional names, you could see:
Sam Alexander Samir.Nasri@futbol.org Sample User
Scroll through the list, if necessary, and click the user name you want. For example, click "Sample User."
When you select a specific user, the page is replaced with the Roles page under Users, showing the role for user Sample User.
